Our new website visityork.org is now live. We know everything looks and feels a little bit different so we’ve compiled the following FAQs to help troubleshoot with any questions you may have.

1. I can’t find my listing on the new website?
Put your business name in the search box on visityork.org and this will direct you.
2. How do I change my listing in the new website?
All members will now be using the new Extranet system to update the content on their web listing. Guestlink will only remain in use for accommodation providers who currently sell accommodation and update availability through visityork.org
If you are not an accommodation provider, you will no longer be using the Guestlink system. Guestlink will now only be used for accommodation providers (who have opted to use Guestlink to sell accommodation through visityork.org) to update their availability.
PLEASE NOTE: From 16 April, updates should be made to visityork.org as follows:
Your web listing on visityork.org
All updates to content and images on your individual listing will be made through the Extranet
Adding an event to visityork.org
All events will be submitted directly through the website here
Updating accommodation availability on visityork.org
(only if you are an accommodation provider using the Guestlink system to sell accommodation through visityork.org)
Accommodation availability will continue to be updated through the Guestlink system.
3. How do I log in?
You login online through https://extranet-nvg.newmindets.net
We suggest you bookmark and create a shortcut to this site on your first visit so you have it to hand for future logins.
The login format will be as follows for the Extranet system:
Login: your email address (the email you receive your login details to)
Password: vymember (you will be asked to change your password)
If you are an accommodation provider, your Guestlink login (which you will still use - only to update your availability) will remain the same as it has always been.
4. I have logged in, changed my password but now I have forgotten it. What do I do?
Click on the ‘forgotten password’ link on the Extranet login page https://extranet-nvg.newmindets.net and you will be prompted to put in your email address and you’ll receive an email to help reset your password.
5. Can we have more than one login to the Extranet?
You can have a maximum of 5 logins. Please email digitalteam@makeityork.com with; full name, position, telephone number & email of all addition contacts.
6. Is there a training manual?
Once you have logged in to the Extranet system, click on the (image) icon in the top left corner and select “edit detail” under your product.
Select “Help” and you will find a manual for updating your listing.
7. How do I update the copy on my web listing?
Login to the Extranet system
Click on the (image) icon in the top left corner and select “edit detail” under your product.
Select “descriptions” tab on the left to edit copy.
Descriptions = Body copy of your listing
Short Description = caption before clicking through to your listing
8. My web listing copy on the new site is really out of date, why has my existing copy not carried over to the new site?
All content was carried over on Oct 17th 2017, and all the amends made after that aren’t reflected in the new site. Please log in to the new site with the details provided and edit your listing.
9. Do I still need my Guestlink log-in details?
Guestlink will now only be used by accommodation providers who wish to sell accommodation and update availability through visityork.org
All other businesses, and accommodation providers wanting to update their web listing content will now login to the new Extranet system.
10. Why do I have generic images on my listing?
These are the default images that are assigned to every listing without suitable photography.
Due to the requirements of the new site only supporting high resolution images, all Visit York members were asked to submit new imagery for the site.
All members who submitted new imagery by the deadline, will see these have been uploaded and allocated to their listing.
If you are seeing a default image, it is because we didn’t receive any new images from you to upload. Don’t worry, uploading your new images is easy – please see question 11 for how to do this.
11. How do I change my images?
Click on the (image) icon in the top left corner and select “edit detail” under your product.
Select “media” tab on the left.
Click “action” in the top right corner and select “upload new media”
IMPORTANT
• All images must be LANDSCAPE 1220 by 713 pixels minimum size.
• For image resising please use Adobe Photoshop or a free equivalent here.
• Select Media Type: Picture
• Every image must have the ‘Alt Text’ box filled in – this should simply be a short description of the image.
12. Why are my images blurry / out of proportion?
Please ensure your images are up to a minimum required size of 1220 x 713 pixels
13. How do I upload an event to the new website?
Events for the new website will all be uploaded directly through visityork.org
1. Go to visityork.org
2. Under “What’s On” section please select “Submit Your Event” and fill in the form.
Note:
Events may take up to 2 working days to be approved
Approval is at the discretion of the Visit York team and Visit York reserves the right to edit or decline any event.
Events must be submitted with a relevant high quality image for which you have the permission to use. Submissions without any photography will be given a default graphic/image which may not be relevant to the event.
