Membership Changes

Bookings on Visityork.org 

Dear Trade Member of VisitYork.org,

From the 1st April 2011 all bookings made via the visityork.org website previously confirmed by the Visitor Centre will now need to be confirmed by the establishment provider (you) directly with the customer. You will be notified about a web booking by either email or fax (depending on your current preference and settings within Guestlink ) and a notification will appear as soon as you log into Guestlink. You can find all the customer details you need to confirm the booking in the ‘bookings' section. Once you have contacted the customer you update via Guestlink i.e. whether it was confirmed, cancelled etc.

To help with updating the Guestlink Helpdesk will be calling in the next few days but if you wish to get help at a time that suits you the team are available on 0845 166 2217 Mon - Fri 9am to 5.30pm or Sat, Sun and bank holidays 10am to 5pm.Alternatively please use the FAQs on Setting up Direct Debits and Signing up for Guestlink + Affiliates .

Any bookings where the status is unconfirmed will be subject to commission. Just to confirm, this change will only apply to booking enquiries coming through visityork.org, telephone and walk-in enquiries to the Visitor Centre will still be processed in the same way.

In a further change that will impact on all bookings the way we collect commission will be changing from the 1st April. Currently our 10% commission is taken at the time of booking, with the customer then paying the balance of the booking to you. The commission will now be taken after checkout directly from you via Guestlink. The easiest way to pay for commission is via a Direct Debit agreement with New Vision Group. To enable this please sign up to Guestlink + Affiliates using the attached help sheet or with assistance from Guestlink Helpdesk.

It's extremely important that you do so if you haven't already signed up as only properties that have signed up will be bookable on visityork.org from April. The commission will be taken on a monthly basis and you will receive prior notification from Guestlink via email of any amounts that are due before they come out of your account.

You will be pleased to know that as a result of these changes once a customer makes a booking via the Visit York website, their full credit card details will be accessible in Guestlink to verified users.

We're very hopeful that making these changes will lead to a smoother booking process for users of the website, and together with a booking fee no longer being charged for web bookings, increased booking numbers.
